Terms of Service

This policy is effective as of 15 March 2022.

It was last updated on 02 January 2024.

When booking a single lesson or package with Safe Haven Dutch Coaching (hereafter: “we/us”), the following terms and conditions apply to the student (hereafter: “you, your”):

1. Cancellation Policy

  1. Lessons can be canceled prior to the lesson’s start time.

    1. No refunds can be given if the student misses a scheduled lesson without timely prior cancellation or rescheduling, except with express verbal or written permission from us.

    2. This can be done only up to 24 hours before the scheduled lesson time.

2. Rescheduling policy

  1. Lessons may be rescheduled. The student must choose a new date and time by using the link in the confirmation e-mail.

  2. Lessons can be rescheduled only up to 24 hours before the scheduled lesson time.

  3. The student can also log in to their registered account on the website and make the necessary adjustments there.

  4. Notification of lesson rescheduling through other communication methods is invalid unless specifically approved.

3. Payment Policy

  1. Payment Provider

    1. Our payment provider is Stripe.

  2. Payment Options

    1. When booking with us, you are using Acuity Scheduling, which is our website’s scheduling platform. This is integrated with Stripe and is offered by our website’s host, Squarespace. They offer the following payment options:

      1. Mastercard

      2. VISA

      3. American Express

      4. Discover

      5. PayPal

    2. The payment options outlined above under §3.2.1 are billed immediately and are processed by our payment provider, Stripe. Lessons booked in this manner will be added to your Acuity Scheduling account immediately and automatically.

    3. PayPal

      1. Option 5 under §3.2.1 is billed through the PayPal platform. Lessons booked in this manner will be added to your Acuity Scheduling account immediately.

    4. iDEAL

      1. In addition, we offer payment processing through iDEAL. We also use Stripe for this purpose.

        1. To offer this method, however, we send an invoice directly from the Stripe platform, as it isn’t integrated (yet) with the Acuity Scheduling system and its Stripe integration.

        2. As a result, lessons will also be added to your account manually by us into your Acuity Scheduling account.

      2. When you wish to book using iDEAL, please send us a message through WhatsApp at +31 (0)6 444 29 174, or through our e-mail address: info@dutchtutoring.com.

        1. In this message, please provide the e-mail address you wish to use on our website.

        2. We require this to send you an invoice, as outlined below in §3.4.3.

      3. We will create an invoice in the Stripe system using the e-mail address provided by you. Subsequently, we will send an invoice to your e-mail address within 1 business day. This e-mail includes the iDEAL payment link.

      4. The invoice must be paid within 7 calendar days, or we will deny the request. In that case, we ask you to send us a new request to pay by iDEAL. You will subsequently receive a new invoice, again payable within 7 calendar days.

      5. Upon receiving confirmation of your payment, we will manually create an account for you in our Acuity Scheduling system within 1 business day.

      6. To do this, we will enter your e-mail into Acuity Scheduling and add the purchased single lesson or lesson package to your account.

      7. Finally, to book your first lesson, we will contact you within 1 business day to discuss a time and date for your first lesson.

      8. You will receive a confirmation e-mail with the details of your first lesson.

        1. We ask that you then follow our FAQ guide to create your own login password for the account we previously created for you with Acuity Scheduling.

        2. We will only book the first lesson for you and ask that you book subsequent lessons yourself.

  3. Invoice Payment Timing

    1. Invoices must be paid within 7 calendar days (not business days).

      1. For example, an invoice sent on Thursday the 16th would be payable by the subsequent Thursday the 23rd.

    2. As mentioned in §3.2.4.4, we only send invoices when you request to pay by iDEAL.

  4. Payment Refund Policy

    1. Lessons, or unused lessons in a package, can be refunded.

    2. Timing of student notification

      1. Refunds must be requested a minimum of 24 hours or more before the scheduled start of the lesson. No refund can be given within 24 hours or less before the scheduled start of the lesson.

    3. To receive a refund, please contact us directly through any of the communication methods listed on this website. A verbal request during a lesson is also valid.

    4. For the different lesson types

      1. For single lessons, the amount of the refund is the actual purchase price of the lesson. Discounts are taken into account. For example: 1 lesson purchased at 20% discount for €15 will be refunded as €15.

      2. For packages, the amount of the refund is equal to the number of unused lessons, divided by the total lessons in the package, multiplied by the total package cost. For example: 3 lessons ÷ 12 total lessons × €200 package cost = €50 refund.

    5. Refund payment processing

      1. The refund request will be sent to the payment provider within 2 business days, through the payment method used to purchase the package.

      2. Please note that the total time to receive your refund is dependent on the speed of the payment provider (usually a maximum of 10 business days).

4. Lesson Policy

  1. Lessons are given either online or face-to-face.

  2. Online Lessons

    1. We offer the following communication methods: Zoom, Skype, and Google Meet.

      1. Requests to host lessons on other online communication platforms will be denied.

      2. It is your own responsibility to make sure the chosen software is installed and working properly before the start of the lesson.

      3. In case of technical difficulties on either end, we will do our best to fix the issue as soon as possible.

        1. Lesson time spent fixing the issue will not be refunded.

        2. Switching to another communication method is also possible in this case.

    2. You reserve the right to change online communication methods.

      1. When changing to another online communication method, you must give at least 2 hours notice by e-mail to info@dutchtutoring.com.

  3. Face-to-face Lessons

    1. Choosing a custom location is possible, for example: your own home, the library, or a café.

      1. This option is only available for 60m lessons or longer (for example 2 consecutive 60m lessons).

      2. The location chosen must be within 3km of the city center of Groningen, due to travel time.

      3. Outdoor locations are not possible.

      4. We reserve the right to change the location at our discretion. In that case, at least 2 hours notice will be given to you by e-mail, to the e-mail address provided to us by you.

      5. You reserve the right to change the location, either to another location or to an online communication method.

        1. In case of another location, you must give at least 12 hours notice by e-mail to info@dutchtutoring.com.

        2. In case of changing to an online method, you must give at least 2 hours notice by e-mail to info@dutchtutoring.com.

      6. No extra fee is incurred for this choice or for changing locations or communication methods.

5. Changes

  1. Lesson Programs

    1. Lesson programs are subject to change.

    2. We reserve the right to alter lesson types at any time.

    3. In case of any major changes to lesson programs that impact the remainder of a package or subscription, you will be notified through e-mail.

    4. In addition, we will notify all website visitors of the change through the display of a banner on the website. The banner will be visible for three days.

  2. Lesson Pricing

    1. Lesson prices are subject to change.

    2. Lesson prices will increase twice yearly, on the 1st of January and the 1st of July.

    3. The price change will take into account the changes in Consumer Price Index (CPI), as published by the Dutch Centraal Bureau voor de Statistiek.

      1. The price change will reflect the increase in consumer prices relative to the same month a year before the current one.

      2. The data used will be that which is stated on the ‘dashboard consumentenprijzen’, linked above.

      3. The respective month will be used, namely January and June.

      4. Pricing of all lesson types will be changed according to the following formula:

        1. New hourly lesson rate = previous hourly lesson rate x (1 + yearly percentage change in CPI).

        2. The result of this will be rounded up to the nearest € 0,50.

      5. All packages will be adjusted similarly, according to the new hourly lesson rate. This will be done as follows:

        1. New package cost = new hourly lesson rate x number of hours in package x 0.9.

        2. The result of this will be rounded up to the nearest € 5.

    4. We will notify all website visitors of these changes through the display of a banner on the website. The banner will be visible for three days.

    5. In addition, students who have taken a lesson with us in the 3 months prior to the price change will receive an e-mail informing them of these changes, including the new pricing per hour.

      1. Students may opt out of these e-mails by contacting us and requesting to be removed from any future e-mails.

  3. Terms of Service, Privacy Policy and Review Policy

    1. These terms, as well as the Privacy Policy and Review Policy hosted on this website are subject to change.

    2. We reserve the right to alter these policies at any time.

    3. In case of any changes, students that have schedules a lesson with us in the past 6 months will be notified through e-mail.

    4. In addition, we will notify all website visitors of the change through the display of a banner on the website. The banner will be visible for three business days.

6. Agreement to Terms

  1. When booking a lesson, you must agree to these terms by selecting the checkbox in the Terms of Service section of the booking form.

  2. By using our services, you agree to adhere to the aforementioned terms.
